How To List Products

We recommend that you first study this help guide before you list your first product.

Listing Your Products

Before you can list any products, you will be prompted to purchase a Product Listing Credit (PLC) for each product you want to list. NO WORRIESuse your 100% DISCOUNT COUPON CODE and continue through the Checkout process to order your PLCs for FREE.

In the Store Manager section of your Dashboard, select Products/Auctions > New. You will be prompted to purchase a Product Listing Credit (a once-of fee per product), which we already explained above.. Follow the easy payment procedure to complete the payment (using your discount coupon code). This payment is currently treated as a normal order – so please wait for admin to accept/complete your Product Listing Credit order before you can continue – you will be notified by email.

HINT: (The following do not apply for the 100% discount on PLCs) Using the PayFast payment option will allow you to immediately continue to list your product. The Direct Bank Payment option requires admin to manually verify your direct bank payment before you will be allowed to continue. This may take a while and is mostly performed during business hours.

Once you received confirmation (via email) that your Product Listing was completed, go back to Products/Auctions > New. You will be directed to the product listing form where you can fill in all the details of your product. You can list different TYPES OF PRODUCTS as follows (which we will discuss further down this page):

  • Simple Product:
A single product for which you can add attributes such as colour, size, etc. But it remains a single product with one price.
  • Variable Product:
This is a product that is available in different variables at different prices, such as weight – 1kg, 3kg and 7kg. Each variable is available at a different price.
  • Group Product:
Choosing this product type, you can bundle some of your existing products together. For example, you can bundle vegetable products together to make up a vegie-combo and sell it at one price: ie. 1kg carrots, 3kg potatoes, 1kg tomatoes and 1 pumpkin.
  • Auction Product:
Choose an Auction product if you want to sell your product to the highest bidder.

Below are guidelines on how to complete the forms for each product type.

Listing a Simple Product

What is a Simple Product?

A Simple Product is is a single product with a single price. For example a T-shirt. You can add different Attributes (options) to a Simple Product. Like this T-shirt – you can give customers different options (attributes) in size and in colour.

Products/Auctions > Add New

To view and manage your existing products click on Products/Auctions in the menu.

Choose Type of Product

The first field is where you can choose the TYPE OF PRODUCT you want to list:

  • Simple Product, or
  • Variable Product, or
  • Group Product, or
  • Auction Product

To list a normal product choose “Simple Product” (we discuss the others elsewhere).  Depending on your product type selection, the form will automatically convert itself to make provision for all the product details required.

Below this field you will find Tick Boxes for:

Catalog (checkbox)
You can check this box if you want to add this product to your Product Catalogue.

Virtual (checkbox)
Tick this box if you are selling a virtual product – ie. a service or treatment. (leave un-ticked if you are selling a tangible product)

Downloadable (checkbox)
Tick this box if you are selling a product that can be downloaded in electronic format (files like .pdf, .jpg, .doc, etc.), such as a booklet, information brochure, etc. You will be able to upload such a file and buyers will be able to download it once they paid for it.

Product Title (Name)

Product Title
Give your product a short descriptive name so buyers will recognise your product by first glance. Keep this name very short, because long names will cover other text (such as the product’s price) on mobile phones. You can add more descriptive details in the Short Description of the product.

Price (R) and Sale Price (R)

Price (R)
Type the product price here (ie. 30.50), enter the INCLUDING VAT price. The system will display the product price in the shopfront as inclusive of Vat. IF you are NOT a VAT vendor, you can choose “Zero rate” further down the form under the TAX tab.

Sale Price (R)
You can also add a Sale Price to a product. Take note that you still have to add the normal selling price so that the Sale Price can show in the shopfront. Click the “schedule” text-link to be able to schedule a start- and end date for your sale.

CALCULATING YOUR PRODUCT PRICE:
When considering pricing, be sure to take our Admin Fee (currently 5%) into account  – just in case any buyer pays online (only applicable when a buyer pays online). The PayFast and Yoco paygate service fees are included in the Admin Fee. Therefore, to calculate the price you list, divide the PRICE YOU WANT by 0.95. Listing Price = YOUR PRICE/0.95
Do calculations and list prices including Vat – the system will add/deduct the Vat rate automatically for your store front, depending on the TAX rate you chose for the product.

Short Description

This is the short description that will display just below the Product Title when a product is viewed in “single product view” – it doesn’t display when the user view in block mode. Type a short, compact description of the product (see how it display in single product view and correct it if necessary).
DO NOT USE THIS FIELD TO LOAD IMAGES – YOUR LISTING WILL NOT DISPLAY CORRECTLY!

Description (Long)

Here you can elaborate more on the product. Provide some needed specifications, colours, packaging, etc. This will display under the Description tab in the bottom section of the single product view.
DO NOT USE THIS FIELD TO LOAD IMAGES – YOUR LISTING WILL NOT DISPLAY!

Images

In the top-right of this page you can upload images for your product from your PC or phone’s gallery. Square images display best. Be sure to use quality images to attract buyers. Use a minimum size of 600 x 600 (px) at a good resolution. The first loaded image (large square) will be the Main Image, displaying in the front-end of the store. All your images will be saved in your store’s gallery for future use. Tap/click the grey image place holder to add an image. Use the “+” below each square (grey image place holder) to add another image.

Category

Choose the correct category under which you would like your product to be listed. Expand the main category to find the sub-categories by click/tap the little yellow encircled arrow button next to the main category name. You only need to choose the lowest level (child) sub-category. (Feel free to contact us and suggest a new category if you do not find an appropriate category for your product.)

Tags

Product tags are descriptive labels you can add to your products. Popular search engines can use tags to get information about your store. You can add more than one tag separating them with a comma. It is important to add tags to your product listings – so, we made it compulsory. It allows your product to be listed in search results when buyers search with keywords (tags). Use short descriptive words you think buyers may use when they to search for your product.

Catalog

You can keep this setting at “Shop and search results”.

Input Attach PDF

PLEASE, IGNORE THIS FIELD.
(reserved for a later function)

Inventory

SKU: SKU refers to a Stock-keeping unit, a unique identifier for each distinct product and service that can be purchased. Use this to help you identify your online products.
Manage Stock (checkbox)
Check this box to add the stock quantity available. The system will automatically deduct stock levels as buyers purchase stock.
Allow Backorders
If managing stock, this controls whether or not back-orders are allowed. If enabled, stock quantity can go below 0. (NOT recommended or allowed on CPO)
Sold Individually
ONLY check this box if you allow ONLY ONE item to be sold in a single order.

Shipping

Before you provide information regarding the shipping of a product, first visit your Vendor Dashboard > Settings > Shipping – and set up your stores general shipping costs.

Provide buyers with information regarding the shipping of your product – such as the cost, distances, weight, dimensions, and the lead time to delivery.

TAX

Indicate whether Vat applies to only a product, and/or to shipping.
If you are NOT a Vat vendor choose “Zero rate” – your product will then be displaying in the store without Vat.
If you are a Var vendor keep the “Standard” rate setting to display your price as “including VAT”.
(“REDUCED RATE” DOES NOT APPLY IN SA.)

Linked

Up-sells: Up-sells are products which you recommend instead of the currently viewed product. For example, it can be products you prefer want to sell instead of the one chosen by the customer, which are more profitable, better quality or more expensive. Simply start typing a name of the product you want to promote – a list of your products that correspond to the letters will show in a dropdown list – choose one.

Cross-sells: Cross-sells are products which you promote in the cart, based on the current product. For example, if the current product (you are listing) is a leather hat that matches a leather belt with the same motif – then add the belt as a cross-sell product.

SEO

SEO (Search Engine Optimisation) is important if you want search engines to “see” your product more clearly and add it to customer’s searches. Add a Title and Description of your product here.

Product Policy

We recommend that you first visit your Vendor Dashboard > Settings > Store Policies to set up all these policies that will be your “global” policies that apply to all products.

This is where you can override your global Store Policies – Shipping, Refund, Return/Cancellation/Exchange – and set the product policies for the specific product you are listing.

Advanced

Enable reviews: Allow customers (who purchased your product) to write a review of the product. You will receive notifications of any reviews via email that you first have to approve before it will be published for other customers to see.
Menu Order: Determine the listing order of this product in your store.
Purchase Note: Leaf customers a special note when they purchase this product.

SUBMIT your product listing once you completed the whole form. Any error message you may receive is usually because some required information is still missing.

Listing an Auction Item

What is an Auction Product?

This is a product you want to sell to the highest bidder. You can set a reserve price for your product which means that it will not sell if the highest bid does not match or exceed your Reserve Price. You can also set the time time period (from when to when) you want your auction to run.

Products/Auctions > Add New (Auction)

To view and manage your existing products click on Products/Auctions in the menu.

Choose the TYPE OF PRODUCT you want to list.

To list a product that you want to place on auction, choose “Auction“.  The first section of the form where you have to complete the details of the product, are basically the same as for a Simple product. See Listing a Simple Product for details on this section of the page.

However, at the bottom section of the page you are required to provide some Auction settings, which we discuss in the tabs below.

Auction Type

Choose “Normal“. (Running a Reverse auction is not recommended).

  • In a Normal type of auction, the Auction starts with a small price (smaller than what will be accepted) and bidders will have to bid a higher price than the last bid. You can set a Reserve price for the minimum amount you will accept.
  • At the end of the auction, the bidder with the highest price will be considered as the winner.

Item Condition

Item Condition:
Choose whether the product is New or Used.

Proxy Bidding

Proxy Bidding: (Recommended)
Proxy bidding occurs when bidders have the option to set a maximum price that they would be willing to pay for an item, and then allow the computer system to bid for them (by the bid increment) every time someone outbids them, until someone places a higher bid than their maximum price.

Starting Price

To attract bidders, set the starting price of the auction slightly lower than the price you will accept. This price will show as Starting price in die shop.

Bid Up (R)

The Bid Up value (R) is the minimum bidding increment that is required to outbid the highest bidder. This is to prevent bidders to up the highest bid with a ridiculously low amount (like R1 or 50c). Depending on the price of the product, set a bidding increment that makes sense.

Reserve price (R)

A reserve price is the minimum amount you will accept for your product. When the highest bid on your auction does not match or exceeds your reserve price at the closing date/time of the auction, it will not sell.

Buy It Now price (R)

This is also referred to as the BIN price. Set this price if you want buyers to be able to purchase the product immediately without bidding on it. This amount can be slightly higher than your Reserve price (this is for customers who really want your product and are prepared to pay a slightly higher price).

A Buy It Now button will display and show the BIN price until the highest bid matches or exceeds your Reserve price.

Auction Date From / To

This is where you set the Starting Date (From) and the Closing Date (To) for your auction. You can schedule your auction for a future date and time. The auction will show in your shopfront with a countdown to the starting date/time. Customers can view the auction product, but will only be able to start bidding on it when the auction starts.

Auction automatic relist

In this section of your auction setup you can schedule an automatic relisting of your auction if it was unsuccessful (ie. your reserve price was not matched by the closing date).

Automatic relist auction: Tick this checkbox to enable the automatic relisting.
Relist if fail after n hours: This is the number (n) of hours to pass, AFTER the auction failed, for the relisting to take place.
Relist if not paid after n hours: If you had a winner for your auction, but the winner does not make payment within a specific time period, you can automatically relist your auction. Add the time limit (in hours) for payment here (it can be anything from 24-96 hours or more).
Relist auction duration in h: Here you can specify for how long the relisted auction must run – again in hours. (ie. 96 = 4 days).

SUBMIT your product listing once you completed the whole form. Any error message you may receive is usually because some required information is still missing.

Listing a Variable Product

What is a Variable Product?

A Variable Product is a product with attributes, where each attribute varies in   price. For example: You can sell coffee in different size packaging; 500g, 1kg and 2 kg. In this case the customer can choose from a drop-down list which package he/she wants to order.

Products/Auctions > Add New (Variable)

To view and manage your existing products click on Products/Auctions in the menu.

A Variable Product  is a product that is available in different variables at different prices, such as weight – 1kg, 3kg and 7kg. Each variable is available at a different price.

To list a Variable Product choose Variable Product” (we discuss the others elsewhere).  The form will automatically convert itself to make provision for all the product details required. Complete the first section of the form (Title, Descriptions, Images, Category, Tags) in the same way you doe for a Simple Product.

Below this field you will find Tick Boxes for:

Catalog (checkbox)
You can check this box if you want to add this product to your Product Catalog.

Adding Attributes

Before you can add Variants to a product, you will be prompted to first create Attributes for the product. We will use an example of bagged potatoes to explain the process.

(See the image above) – First create an attribute – in this example it is called “Weight”. Then add values for this attribute – ie. 1kg | 2 kg | 3kg | etc. (Note that the values must be separated by a “|”.) You can list as many values as you wish – you may later use only those you need. You can always come back and add some more values.

Once you have created an attribute for your product – you can now move on to the next tab – “Variables” – to set the variables for this product.

Adding Attributes

Once you have created at least once attribute, open the Variants tab to add variants.

CHOOSE THE “VALUE” for the FIRST VARIANT of your product from the list in the top left (see image above)(ie. 2kg). Now you can set all the values for this varient – image, price, quantity, weight, etc. Tick the “Manage Stock” checkbox to manage the quantity of this item. Also tick the “Enable” checkbox to make this variant available.

To add a SECOND VARIANT, click/tap the “plus” icon in the bottom-right of the form, and repeat the process.

At the top of the form, from the “Default Form Values” drop-down list  – choose which variant value  must display in the shopfront as the default item.

SUBMIT your product listing once you completed the whole form. Any error message you may receive is usually because some required information is still missing.

Listing a Grouped Product

What is a Group Product?

A Group Product is when you group some of your existing products together – so that the customer can purchase them together from one window. This option can sometimes be confusing to customers. (Not recommended)

Products/Auctions > Add New (Grouped)

A grouped product is created in much the same way as a Simple product. The only difference is you select Grouped from the Product Type dropdown.

A Group Product is a collection of related products that can be purchased individually and only consist of Simple Products. For example, if you are selling coffee beans, you might want customers to also purchase your coffee grinder and coffee plunger in one go. Listing them all together as a grouped Product is the perfect way to make that happen.

To list a Grouped Product choose Grouped Product” (we discuss the other products elsewhere).  The form will automatically convert itself to make provision for all the product details required. Complete the first section of the form (Title, Descriptions, Images, Category, Tags) in much the same way you do for a Simple Product, and then move down to the bottom section (the dark tabs).

Adding Group Products

Adding products to your Grouped Product is very easy. Once you completed the details of the product in the top section of the form, you simply go to the Group Products tab in the bottom section of the page and add any of your existing Simple Products to this Grouped Product.

DO NOT LIST any other products than Simple Products. Repeat to add another product . Submit the page to load the Grouped Product.
